How MakePay works with QuickBooks Online

QuickBooks Online already holds your customer invoices and receivables. MakePay’s existing QuickBooks connection adds an invoice payment route through hosted crypto checkout and records the confirmed payment against the original invoice.

This connection uses QuickBooks authorization. You approve access to your own company through Intuit; you do not paste a QuickBooks API secret into an invoice or register a new developer app to follow this merchant workflow.

Before you connect

  • Permission to authorize the intended QuickBooks Online company.
  • A MakeCrypto merchant with settlement settings ready for MakePay checkout.
  • An invoice with a supported currency and a positive current balance, and review the synced invoice memo/link.

Set up QuickBooks Online with MakePay

  1. 01

    Authorize QuickBooks Online

Open MakeCrypto → Bookkeeping → Integrations → QuickBooks Online → Connect. Continue through Intuit’s authorization screen and approve the intended company. Check the connected company when you return.

  2. 02

    Sync your invoices

Use Sync invoices in the connected panel. Review the imported customer, invoice number, currency and balance. The original QuickBooks invoice remains the accounting source.

  3. 03

    Share the invoice payment link

Open the synced invoice’s MakePay payment URL. MakePay adds its link block to the customer memo; review the resulting memo and the invoice document your customer receives. Checkout rereads the current QuickBooks balance.

  4. 04

    Check the recorded customer payment

After MakePay confirms settlement, review the linked QuickBooks payment and original invoice. Use the stored MakePay reference to trace the accounting entry back to the checkout.

What happens when a customer pays

A payment linked to the original invoice

The QuickBooks payment payload includes the original invoice allocation, customer, currency and received amount. Recording the settlement does not move money through a QuickBooks bank account.

Keep payment evidence together

MakePay retains its checkout reference and reconciliation state. Review connection errors or a changed invoice before requesting another payment. A browser return from checkout is not settlement evidence.

Check these connection limits

  • This page covers QuickBooks Online; it does not describe a QuickBooks Desktop connector.
  • Intuit authorization and company permissions must remain valid for sync and recording.
  • Review refunds, corrections and any downstream QuickBooks accounting or email rules with your bookkeeper.

Setup resources

Follow the detailed connection guide and your software’s own account requirements. Configure merchant settlement before sharing a customer invoice.

QuickBooks Online payment questions

Do I need my own Intuit developer app?

For the released MakePay merchant connection, you use the existing QuickBooks Online Connect authorization flow and approve your company. You do not create a separate app as part of these setup steps.

Can I collect the amount shown in an old PDF?

Checkout checks the invoice’s live QuickBooks balance. If a payment or credit changed it, review the current invoice and payment link rather than collecting an outdated document total.

Does this support QuickBooks Desktop?

No. The released connection described here is for QuickBooks Online.
