How MakePay works with Invoice Ninja
Invoice Ninja has two distinct MakePay paths. Hosted companies connect from Bookkeeping with an administrator API token. Self-hosted Invoice Ninja v5 can install a native gateway for the client portal. Choose the route that matches where your company runs.
The hosted connection adds each invoice’s stable payment URL to an unused custom field. You then use MakePay’s PDF and email snippets to put that URL in the documents your clients receive. It does not add a new gateway to Invoice Ninja’s hosted gateway selector.
Before you connect
- For Cloud: a hosted plan with API access, an administrator token for the correct company and an unused invoice custom field.
- For self-hosted: Invoice Ninja v5, PHP 8.2 or later, installation access and the MakePay gateway package.
- Configured MakeCrypto settlement settings, plus tested invoice and email templates before sending clients a payment request.
Set up Invoice Ninja with MakePay
- 01
Choose Cloud or the native gateway
For hosted Invoice Ninja, open Bookkeeping → Integrations → Invoice Ninja Cloud and create a company API token. For self-hosted v5, follow the separate gateway installer guide and back up the application before installation.
- 02
Connect the correct company
In the Cloud dialog, paste the administrator token and select an empty invoice custom field. MakePay verifies the company and labels that field MakePay payment URL. Keep fields already used for business data unchanged.
- 03
Add PDF and email snippets
Sync invoices, copy the connected panel’s PDF and email snippets, and add them to your Invoice Ninja designs and reminder templates. Generate a fresh PDF and send a test email to an inbox you control. The email snippet retains the recipient’s normal invoice-view link.
- 04
Verify an issued invoice
Open its MakePay link and check the live balance and currency. Drafts can carry a URL but cannot collect payment until issued. After confirmed settlement, check the Cryptocurrency payment in Invoice Ninja and its allocation to the invoice.
What happens when a customer pays
Hosted checkout without installing PHP
The Cloud connection runs through the company API and invoice-change notifications, with background sync to catch missed changes. Larger invoice sets import over multiple batches. Payment links reflect the current invoice balance, including partial payments.
Client-portal checkout for self-hosted v5
The native gateway creates hosted MakePay checkout from Invoice Ninja’s payment hash. Signed callbacks must match the stored checkout, amount, currency and gateway before Invoice Ninja’s own payment service allocates the payment.
Check these connection limits
- Hosted service users cannot install the self-hosted PHP driver. Use the Cloud API path and document templates instead.
- Changing a PDF design affects newly generated documents. Downloaded copies do not update automatically.
- Crypto payments require customer action. Automatic recurring token charges are unavailable, and refunds must be handled and recorded manually.
Setup resources
Follow the detailed connection guide and your software’s own account requirements. Configure merchant settlement before sharing a customer invoice.
